Payment Plans
The Payment Plan function will force an "Initial Payment" by credit card at the time of registration, then send payment request notices to the registrant based on criteria you create. Follow-up emails will include a pay-balance link, however subsequent payments are not forced, and registrations are not cancelled automatically if a person misses a payment date. Please use financial reporting in your registration software to check payment.
Payment Plans may be created at Application>Financial>Payment Plans. If you are a Standard or Enterprise customer and do not see this option, please contact support to activate.
After a Payment Plan is created, it may be assigned to an event at Event Setup>Financial>Payment Plan.
There are a variety of ways you can configure the Payment Plan to charge an initial amount and the follow-up payment reminders using the settings described below. *Note - while the Initial Payment is required, the subsequent payments are not forced. The registrant can pay whatever amount wanted on the balance due. They are not forced to pay the billing cycle amount, because Learning Stream does not store credit card information or automatically bill the credit card.
Do Not Allow Use of Payment Plan Within # Days of Event Start Date - If "5" is entered
here, for example, the software will not show the payment plan option to registrants
within five days of the start of the event. Otherwise, "0" means there is no cutoff.
Minimum Balance to be Eligible for Payment Plan - You may choose not to use the payment
plan in situations where the total amount due is relatively small.
Initial Payment Amount - Specify an amount, percentage, or have the system automatically
calculate a fraction of the total due. For example, if you set the plan for four
total payments and the total fee is $500, the first amount due at registration will
be $100. The amount due at registration is like a deposit. That will be followed
in this scenario by four installments of $100 each.
Billing Cycle Amount - If you use the same payment plan for events with different
fee levels, opt to equally divide the remaining balance equally among payments. This
will ensure consistent amounts due across all events using the same payment plan.
*Note - the registrant can pay whatever amount wanted. They are not forced to pay the billing cycle amount.
Billing Interval - To equally divide payment dates between registration and event
start, you will be required to enter a number of payments.
- To request payment every X number of days, you will be required to enter the number
of days. - To request payment on a certain day each month, you will see and choose from a day-of-the-month dropdown list.
- If payment is due on a specified dates, use the accompanying calendar to select each date.
Billing Notification Sent - How soon before payment is due would you like email reminders
sent?
Final Payment Date - Specify when you expect final payment.
Notification Settings - Compose both the initial message the registrant receives (in
addition to the confirmation email) and the message they will receive to make each
follow-up payment. If the event is tied to the cart process, you'll need to set up
emails for that. In that case, the registrant will be taken to a cart page to pay.
Select payment plan in Event Setup > Financial.
The registrant will see a page like this after submitting the registration form.
