Video: Adding Registration Form Questions
Check boxes allow multiple answers for one question. Radio buttons or dropdown lists allow only one answer option per question.
For an event, click "Registration Form" on the left menu. Then click on "New Question" to see question formats options. Choose the [Select] option for the second or third format. Once you have created the question, you will still have the chance to change it from check boxes to radio buttons, or vice versa prior to the question being answered.
Fee and Discount Options
After selecting the format a menu will then appear with four different options concerning fees and discounts:
- No fee or discount is associated with the possible options - No money is involved with the question.
- A fee can be associated with one or more of the possible options - A fee is associated with any or all of the answers to the question.
- A fee can be associated with one or more of the possible options based on registration date - Fee is associated to any or all of the answers to the question and any or all fees will increase after a certain registration date.
- A discount can be associated with one or more of the possible options - A discounted fee is connected to any or all answer choices. This will be a percentage discount. If a specific dollar amount discount is needed, select one of the fee options above instead. Then a negative fee can be associated with the question options.
Limit Options
After selecting a fee or discount option, another menu will appear with two options concerning answer limits:
- No, limits on the number of times options are selected - Options may be chosen an unlimited amount of times by registrants.
- Yes, limits can be set on the number of times options can be selected - Options can only be chosen a limited number of times. For example, a seminar may have breakout sessions, each with a limited number of seats. You can list each session as an option, with the limit on each option being the number of seats available. After the limit has been reached for an option, it is no longer available to other registrants.
*Note - for questions that contain options that might need to be removed in the future, it is recommended to select Yes to Limits. A negative one in the limit field will hide that option from all future registrants while maintaining historical data for reporting. This is preferred over deleting a question option.
Time Conflicts
Associate dates and times with question options. By doing so, you can block a registrant from choosing two options within an event that have conflicting dates and times. This function will help primarily when setting up multiple breakout sessions that may overlap.
Do not add this option unless it is absolutely necessary as dates/times will be required for every question option.
The start and end times entered for options are internal only. For the dates/times to appear on a registration form, they must also be entered in corresponding option text fields.
Question Creation
After the final choice in the wizard, the question setup structure appears. Depending on which options are chosen, the question creation page will look similar to this:
Each question and answer is available as a Tag for use in notifications if you fill in the 'Tag" field to the right of "Question Number".
This particular page was created using the "A fee can be associated with one or more of the possible options based on registration date" and "Yes, limits can be set on the number of times options can be selected" options.
- Question Number - Enter the question number to place it in the correct order on the registration form. This can also be done by click and drag via the Form Editor.
- Tag - Create a Tag that will be available elsewhere, such as on confirmation emails.
- Required Response Box - An answer is required. The conditional option requires an answer to a registration question only if the registrant gave a particular answer to another question on the form. For example, a registrant who signs up for morning and afternoon breakout sessions might have to answer a subsequent question on lunch choice. A registrant who signs up only for the morning sessions would not.
- Internal Question - The registrant will not see an internal question, but it can be answered administratively, and its information can be included on reports and exports.
- Sort Options - No matter what order options are added, they will appear alphabetically or reverse-alphabetically, if this is selected.
- Registration Question - Enter the question in the text box.
- Early Registration End Date (optional) - If a fee is associated with an early registration date, enter that early registration date in this field. (There is also an early registration discount option under Event Setup/Financial to apply date-related discounts across the entire event.)
- Message to Display if Limit Reached (optional) - If limits apply on the answer options, enter a message here to be displayed when an option has reached its limit.
- Display Number of Options of Remaining - If option limits are set, the number remaining will appear on the registration form.
- Allow user to select one option/Allow user to select multiple options - This setting can be changed prior to the first registration. After a registrant has answered this question, this choice will no longer be available.
- Answer Options - Enter each answer option in a separate numbered field under "Option Text."
- Early Fee (optional) - In the field to the right of the corresponding answer option, enter the fee associated with that option if the participant registers by the early registration end date.
- Standard Fee (optional) - In the following field, enter the fee associated with that answer option if the participant registers after the early registration end date.
- Limit (optional) - This applies a limit on how many registrants can pick a specific answer option, enter the maximum amount of times that option may be chosen in this field.
- Date/Start Time/End Time - Prevent date and time conflicts with this option. If the registrant chooses an option associated with a date and time, the registrant can't choose another option on the same form occurring at the same time.

- Details (optional)- Allows details or a description about the option to be created. Click on "Details" and a text editor will appear. A description can be typed for the answer option.
Option Code: In the upper right corner of the text editor for Details is a field for an option code. This can be used to create a Tag for a shorter version of the selected option. It can be applied to items such as name Tags or other printouts for registrants. For example, the option for Workshop #1 in Room 103 could have an option code of "103". The code could then be applied to the name Tag template. The printed information would act as a "cheat sheet" reminding the registrant of the workshop location. If the Learning Stream Tag for the question were [Workshop], the option code Tag would be [WorkshopCode]. The option code Tag can be retrieved from the Question Tags list of the Confirmation message text editor and applied to templates in other areas. - Linked Questions- Answers to questions can be linked to other questions. The follow-up questions will only appear on the form if certain answers are given. For example, a menu of lunch options would only appear on the form if a registrant chose to attend lunch. Conditionally Required should be set for the secondary question prior to creating the Links.
- CEU- Apply continuing education credits to each option. Each one can have a different type of CEU. Alternately, CEUs can be configured to apply to the overall event under Event Setup.
- Expense (optional) - If you are using the Budget option, you can associate any option with a Financial Account. The resulting information will appear on the Financial Account Detail report in the Expense/Budget section of Reports.
- Details (optional)- Allows details or a description about the option to be created. Click on "Details" and a text editor will appear. A description can be typed for the answer option.
- Add Option - Adds fields for more options.
- Discount(s) can apply to the fees listed - If you set up a discount code(s) or discount policies under Event Setup/Financial and want to apply it to a registration question, you must check the discount option box on the registration question setup . If this box is not checked, no discount will be applied to any option chosen.
- Hide amounts on registration form - Any prices will not appear on the form that registrants see.
- Display as drop down list - Even options will appear in a drop down list instead of as radio buttons.
- Convert to a Global Question - Any question created for an event can also be converted into a global questions, making it available for system-level reporting.
Do not put quotation marks in the option text because the software will not recognize them. However, you can use single quote marks twice.
