Using the Invitations Module allows you to create and email an Invitation to a selected group. Each invitee will receive an email with a link to your event. They may use the invitation to access the event and submit a registration form.
Creating the Invitation
Turn on the Invitation Module at Event Setup > General Tab
Check the Send Event Invitations box in the Event Tools section, Save Changes
The menu tabs on the left will now display the Invitations option. Click to access:
Setup Invitation
The Invitation is similar in format to the Event Page. You have the options of inserting or uploading images, linking to pdfs, and using the editor tools to design your Invitation.
- Enter the Subject for the email
- Type the information that you want the Invitees to receive in the text box.
- Be sure to include either the [AcceptInvitationLink] Invitation Tag or check “Include registration link at bottom of invitation”. Either of these provides a link to your Event Page for the registrant.
Selecting Invitees
There are several options for creating your list of invitees. You can add individual entries, import a list of email addresses from Excel, or import your invitees from a previous Event’s registration list or invitee list.
Add Entry
This option allows you to add individual entries, one by one. First name, Last Name, and email address are required
Import List
Import List gives the option of inviting Another Event’s Registrants, Another Event’s Invitation List, or Import List from MS Excel Template.
Another Event’s Registrants
Select this option to invite registrants from a previous event. Click Select next to the desired event, then Generate Invitation List. You may complete these steps multiple times to add registrants from multiple events to your Invitee List.
Another Event’s Invitation List
Select this option to invite invitees from a previous event. Click Select next to the desired event, then Generate Invitation List. You may complete these steps multiple times to add invitees from multiple events to your Invitee List.
Import List from MS Excel Template
- Click to download the Excel template. The template will open in Excel where you can paste or enter information. Email Address, First Name, and Last Name are required.
- Save the template to your hard drive.
- Return to the Invitation > Import List window and upload the saved template.
Send Invitations
After the Invitation is set up and you have entered or imported the invitees, click Send Invitations to email the invitations.
- Select the desired delivery options
- Several days after initially sending the invitation, you may want to resend the invitation to those that have not responded, or to newly added invitees. These options are available in the Send Invitations window.
