In the event under Reports > Forms > Custom Certificates/Letters
First, to set up a certificate, go to Create/Edit Event Certificates or use an existing certificate under Application > Templates > Certificates and Letters
To set up a certificate, go to Create/Edit Event Certificates.
- You can create one from scratch via "New Certificate"
- If you have already created a template in Application > Templates > Certificates and Letters that you want to use, you can click "Copy from Account" and then customize the copy for your event. Any custom Tags that you have created will be available at the event level.
- You can also copy a certificate template from another event, click "Copy From Other Event"
Set up a Certificate Rule:
On the Custom Certificate Management screen click Certificate Issue Rules, then click “Create New Certificate Rule”.
1) Give the Certificate Rule a name.
2) Select the Certificate to assign to the rule, from the drop-down list of available certificates. The list includes any certificate templates created for your event, as well as any system-level certificate templates. Note, once you create the rule, save it, and the rule has been executed with certificates being issued, this cannot be changed. If you need to change it, you will need to create a new rule.
Require Certificate to Receive CE Credit checkbox will prevent CEUs from being given to an attendee. They have to qualify for the certificate before they get the CEUs. It requires a certificate to be issued before CEs are counted as earned in Learning Stream. Further, recipients can receive all credits for which they are eligible, or an admin can select only certain CE types to be earned.
3) The “Issue To" section allows you to either issue certificates to "All confirmed registrants" or to "Registrants meeting the following criteria"
- If you choose to issue certificates to all confirmed registrants, they will receive a certificate via email as soon as they sign up.
- Alternately, you can create a rule based on selected criteria (attended, evaluation complete, outstanding balance, and/or their answer to a registration question, e.g. profession.) The registration answer option allows you to set up and issue multiple certificates. For example, different certificates can be issued based on each registrant’s profession. You can set up multiple rules within your event, with each rule using a different certificate template.
4) “Edit Email Message” to include a text to accompany the link to the issued certificate. Do not remove the [CertificateLink] tag from this message.
5) Process Rule allows you to catch up if any persons registered, were marked attended, etc. before the rule was created. The certificate will be issued during the next 30-minute scheduled system task window.
Every 30 minutes, there is a scheduled system task that runs to process or execute the certificate rules. If you have just set up the rule or selected Process Rule, wait 30 minutes before checking on these certificate emailed messages in the Message Center. You will first see them in the event under Message Center - Pending, then within 10 minutes, these should move to Message Center - Sent.
