Bypass Event Page - If you do not want to use an Event Description created in Learning Stream, allow registrants to go directly to the registration form. If a person clicks on the event link outside the registration period, however, the event page will appear instead of the registration form.
Show/Email Statement - Check this option if you want to show and email a copy of the financial statement when a registrant submits a form.
Show Responses to All Questions On Statement - Check this option if you have decided to show/email a statement to a registrant and want to include on that statement their answers to the registration form questions.
List Incomplete Registrations - If a registrant partially completes a registration form fails to answer all required fields, and then closes the registration form before completing the process, the partially completed form will appear on the Registration Listing screen when this is selected.
Allow Duplicate Registrations - Learning Stream is designed to prevent duplicate registrations by looking at a registrant's name and email address. You can override that capability if you want to set up an event for ongoing ordering or reservations. Say, for example, you want registrants to use Learning Stream to request a room or piece of equipment. The same registrant can make multiple requests using the same
form.
Generate Charges/Fees Override: By definition, a registrant on a waitlist or pending approval does not owe money until becoming a confirmed registrant. Therefore, the [BalanceDue] Tag available for use on email messages will read "$0.00" on pending approval and waitlist messages. Override this default setting should you need to remind a registrant of a balance due when the registrant will be approved only once payment has been received.
Require Payment for Pending Registrations: If checked, a registrant must pay the balance/deposit even if the registration is pending. This option will only be displayed when "Generate Charges/Fees Override" is selected.
Automatically Mark Attended/Send Evaluation: Rather than marking attendance later, the software will mark a registrant attended as soon as their registration is confirmed. You can also email an evaluation form as soon as a person is marked as attended. If both settings are activated, a person would be emailed a survey as soon as they are confirmed.
Security Filter: Choose a security filter, designated by a range of IP addresses created under Application > Integration > Security Filters, to limit access at the event level to particular registrants, such as persons registering on employee computers.
Time Zone: A Tag for time zones is available for event pages and notifications. The default time zone is "local time".
Email Filter: Limit registrants to those with a specific email extension, such as Learning Stream.com. Filters are created in Application > Advanced > Email Filters.
Custom Event Information
These five fields are for your discretionary use. Text added in the fields will then be available as Tags on the Event Page, notifications, and templates such as certificates and name badges. The Tags will appear as [EventCustomInfo1], [EventCustomInfo2], etc...
NOTE: Event Flex Fields is a newer feature that allows you to add an unlimited number of additional flex fields with tags to use in your event setup. This is recommended over Custom Event Information.
Registration Button Text
Control the wording for individual registration and group registration links as they appear on the Event Page. You can also change the default text ("Submit Registration") at the bottom of any registration form.
If registration for an event requires approval for each registrant, check the "Required" option next to "Require Registration Approval"
Options:
1. Registrant prompted to approval address: A field will be added to the registration form in which the registrant types in the approver's email address.
2. Registrant selects from the event list of approvers: {Click Here to Edit List} to create a list of names and email addresses that registrants can choose from.
3. Use one address for all registrants: This may be an internal email address, should an administrative user be assigned to approve registrants, perhaps based on when a check is received.
4. Registrant selects from the account list of approvers: This is a global list of names and email addresses created in Application > Advanced > Approval Lists. If changes are made to the list, they will affect all events using that list. You can also create a list of approvers event by event.
The registrant will receive an email from your account saying that their registration awaits approval.
If registrants pay by credit card, cards will not be charged until the registration is approved.
The approver will receive an email with a link to the event description, plus links to either accept or decline the registration. See Notifications for customizing these messages under Event Setup > Notifications. Once the approver takes action, the registrant will receive the appropriate message.
Alternate Return Mailing Address
The information at the top of financial statements will default to information entered in Application > Account > General. However, you can override that information event by event by putting in alternate mailing information here.
Alternate Return URL after Registration
Following a completed registration, a registrant will see a "registration complete page" with your logo. However, you can circumvent this page, taking the registrant directly to a page of your choosing. Insert the full link to the alternate page in the "Alt. Landing Page After Registration" field.
Even if you choose to keep the default "registration complete" page, the registrant can click a link to any page of your choosing. You can override that information event-by-event by putting in an Alternate Return URL in the second field below.
If you want to create a landing page using Tags, click the link next to "Custom Registration Landing Page". This custom page is accessible via the Registration Form/Layout.
Calendar Display
Select a calendar/listing display rule for your event that may be different from the rules for other events.
Display Event on Calendar
- Based on Calendar Settings: Uses the same setting under Calendars/Event Listings
- Until Registration Ends: The event disappears from the listing after the registration end date/time
- Until Event Starts: Removes event from listing after the start date/time of the event
- Until Event Ends: Removes event from listing after the end date/time of the event
- Event Not Date Related: Events that are not date-related will appear at the top of the event listing before any date-specific events.
- For # Days After Event Starts: Determine the number of days past the event start/time the event should appear on the listing
Example: The universal setting for a listing may be to show only events open for registration. However, you may want one event to appear on the listing until the last day of the event, even after registration has closed. In such a case, you would select "Until Event Ends".
Additional Dates are Shown
These options apply if you are using the Additional Dates in the Event Settings sections because your event occurs on multiple days, such as four consecutive Wednesdays.
- Based on Option Chosen Above: Follows the setting selected in the Display Event On Calendar section above
- Never - Use last possible date as event end date: Only the first date of the event appears on the calendar/listing.
- Never - Use first date as event end date: Only the first date of the event appears on the calendar/listing.
- Each Date Appears Until Passed: Each date disappears from the calendar as it passes
- Until Event End Date: Stays on the calendar until the last date of the event
Add Day Number to Event Title
This checkbox will appear only if you are using the Additional Dates option under Event Settings (See above). By doing so, you can automatically add the day number to each day of a multi-date event.
Display Color (Calendar View Only): You can override the title color on a calendar view for an individual event by using the selected color.
Certificate Validation
When you issue/email a certificate, you can include an introductory email (Event > Setup > Notifications) that includes a validation code and link. You can enter a custom validation prefix here. Customize the certificate validation page as well.
The email that accompanies an issued certificate can have a validation code and a link to a page to enter the code. This can be provided to a supervisor or other person who wants to validate the certificate. This page also includes the link to the validation screen.
Social Media Conversion Tracking
They must land at reg.learningstream.com/s_reg/registration_results.aspx. This means that the registrant has completed and submitted the registration form. If they land there, data will be sent to Facebook if you’ve provided valid pixel info at Event Setup>Advanced>Facebook Conversion Pixel ID.
Adding the Facebook conversion pixel id number in the event setup will track conversions from the Facebook Ad once the registrant reaches our standard registration landing page. The shopping cart cannot be used for this to work. Registrations must occur through the event URL. They must complete registration to be tracked.
What the registrant sees after registration depends on whether it’s a cart registration or just an event URL registration. If it’s a cart registration, they will see the Cart View page. If it’s an event URL registration, what they see is determined by whether there is a fee for the event. If there’s a fee, they will see their statement. If there’s no fee, they will see the basic registration landing page, which just tells
them they are confirmed.
Registrant Jump Page Setup
If you use Learning Stream to register persons for webinars, set up a jump page pointing to the webinar page. When participants click the webinar link, Learning Stream will mark them attended the event. Your participants check in themselves when accessing the webinar.
1. Go to Registrant Jump Page Setup at the bottom of the Advanced tab, under Event Setup > Advanced
2. Enter the webinar link.
3. Customize the link text.
4. Check the “Mark as attended” box.
5. Include the jump page Tag on the confirmation email (Reminder email, too.)
In addition to normal attendance reporting, Registrant Listing – Custom Report (2) in your Event Reports includes a Jump Page Access Date/Time column.
