Video Media Manager (20 mins)
Media Manager allows you to upload video files and share them with your registrants. This is an add-on feature. Additional pricing applies to this feature. Once this is enabled in your account, in order for this to function, Support must create a Wistia Project ID for your account in the support system.
Admin > Media Management
Start by creating a media group, containing one or more videos that you want to give your registrants access to. This is how you organize your videos. When a registrant registers for an event, a media group can be assigned to their registration.
To create a media group, click New Media Group and name it, click Add Media Group
You are taken to a screen where you can upload a video. Drag and drop or click Upload Video button to add a video. Add a Video Name and Save Changes. This takes you back out to the Media Group that you created.
These are the video formats accepted:
MOV, MPG, AVI, FLV, F4V, MP4, M4V, ASF, WMV, VOB, MOD, 3GP, MKV, DIVX, XVID, WEBM
To the left of the video, there is a Log option where an admin can see a list of viewing updates, that shows who has viewed the video and their progress in watching that video.
Give registrants access to the video. Associate the selected Media Group with a registration question response chosen by the registrant. In their confirmation message, they will receive a link to access the video and they are provided an Access Key to enter.
In the event, go to Registration Form. There must be a question on the form that gives them access to the video. Edit the question (must be radio button or checkbox). In the example question below, hover on the blue Options button to the right of the Yes response, click Media:
Add the Media Group (s) that you wish to associate with this event:
In the Media settings, it is also an option to specify how long the person has to view the video(s) and when their access ends. You can also require payment before a registrant can access the video(s).
In the event under Event Setup > Notifications, edit the Confirmation Message and click on Registrant tags to the right. You will want to include the [ContentAccessLink] and [ContentAccessKey] tags:
When the registrant clicks the video link, they are prompted to enter the Access Key they were provided:
Registrant should now have access to the video to watch.
The pages that the registrant sees during the video access, viewing, and landing pages, are set up under Admin > Media Management > Interface Setup:

Content you enter in the Access Page editor will display on the registrant access page.

By default, the text 'Media Viewer Page' will appear at the top of each video page when a video is viewed.

Evaluation
An alternative option would be to provide the registrant with a link to complete an evaluation on the above referenced Landing page. The tag for this is: [EvaluationAccessLink]
You would select “Automatically Mark Attended” at Event Setup>Advanced to make everything work correctly.
These are the recommended video settings
- Max File Size: 8GB
- File Type: MP4 (recommended)
- Codec: h.264/AVC (required)
- Resolution: between 640px and 3840px wide
- Bitrate: 5,000–8,000 kbps (recommended)
- Framerate: constant, 15–60 frames per second
- Aspect Ratio: We accept videos of any aspect ratio, but wider = higher quality
Trouble Uploading a Video?
If you're having trouble uploading a video then your video may not have the recommended settings.
Our video provider recommends processing your video file with this free utility, Handbrake:
To export a video for Learning Stream from Handbrake, click Source in the top right corner and select the file that you’d like to convert. Some of the fields will auto-populate. We recommend making sure that:
- The “Video Codec” on the video tab is set to H.264 (x264)
- The “Video Quality” uses “Average Bitrate” and is set to 5,000–8,000kbps. Also, you can check off “2-pass encoding.”
- On the “Audio” tab, use the “AAC (CoreAudio)” codec and set the bitrate to at least 128 kbps, or the maximum bitrate for the audio track in your video.
Then, click “Start” at the top right and your video will begin encoding to the Destination folder you chose!
Media Categories
Optional functionality for accounts that require a large number of Media Groups is to create Media Categories for organizational and filtering purposes. One or more Media Categories can be assigned to each Media Group.
First, you'll need to create a Media Category then assign it to the Media Group.
When assigning a Media Group to a registration form question option, you can filter the list of Media Groups by Media Category.
On the next page click Add Media and select the Media Category to apply the filter before assigning the Media Group.
The reporting at Reports>Media can be filtered by Media Group and Media Category.
